Expense approvals for growing companies
Approve expenses in minutes, not at month end.
Approvia gives employees a simple expense form, managers and finance a queue with policy flags, and leadership the analytics: spend by category, cost centre and month, and how long approvals take.
A sample claim. Your limits set the flags, not ours.
What you get
The flag comes before the approval, not after the audit.
Policy rules run when the claim is filed, so the manager sees the problem in the queue and the employee sees it before pressing submit.
- Two-step approvals
- Manager first, then finance, each with their own queue and their own view of the expense.
- Policy rules
- Per-diem limits, receipt requirements and category caps flag expenses automatically.
- Cost centres
- Every expense carries a cost centre so spend rolls up the way the budget is set.
- Analytics
- Spend by category, cost centre and month; approval time; the violations that recur.
- Audit log
- Every approval, rejection and edit recorded with who and when.
- Roles
- Employee, manager and finance views from one workspace, switchable for demos.
Filed, approved, paid
01
File an expense
Amount, category, cost centre, receipt. Policy flags appear before you submit.
02
Manager approves
The expense lands in the manager's queue with the flags; one click to approve or reject with a reason.
03
Finance pays
Finance approves the batch, marks it paid, and the analytics update.
Before you set the limits
Can we change the policy rules?
Yes: limits per category, receipt thresholds and per-diem amounts are settings, not code.
Do employees need training?
The claim form is four fields and a receipt. Most people file their first claim in under a minute.
Can finance export for the ledger?
Approved expenses export as CSV with cost centre, category and employee for the accounting system.
What about multiple currencies?
Expenses can be filed in any currency and are reported in the workspace currency at the day's rate.
